Regional Operations Coordinator/Administrator

Job Responsibilities:

Provides operational services by implementing administrative systems, procedures, and policies; monitoring administrative/operational projects; coordinate staffing and track hours worked in Payroll Software; aid Regional Director/Operations Manager with daily operations/logistics coordination for supply chain inventory/distribution; coordinate any operational/site issues with Site Leads; Ad-Hoc responsibilities as directed by leadership; maintains a continuous improvement mindset; coaches staff on administrative and operational topics as assigned.

Administrative Coordinator Job Duties:

  • Maintains administrative workflow by studying methods; implementing cost reductions; developing reporting procedures.
  • Implements and monitors systems and procedures by analyzing operating practices; studying utilization of tools and software systems; evaluating personnel and technological requirements; implementing changes.
  • Develops administrative staff by providing information and coaching on administrative and operational tasks.
  • Resolves administrative and staff problems by analyzing information; identifying root cause; implementing current policy and procedures for resolution.
  • Maintains rapport with customers, vendors, managers, and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations.
  • Maintains suggestion system by directing and controlling administrative operational aspects in accordance with management directives.
  • Provides information by answering questions and requests.
  • Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
  • Maintains and tracks all Staff payroll hours in the “When I Work” payroll software.
  • Guides employee actions by researching, developing, drafting, and updating administrative policies, procedures, methods, and guidelines; communicating developments to management.
  • Completes administrative projects by identifying and implementing new technology and operational resources; redesigning systems; recommending re-deployment of designated resources, SOP’s, and company policy requirements.
  • Accomplishes department and organization mission by completing related results as needed.
  • Ad-Hoc duties and meetings as directed by Regional Director/Operations Manager.

Administrative Coordinator Skills and Qualifications:

Organizational Operations experience, Managing Processes, Process Improvement, Reporting Skills, Change Management skills, Coaching, Client Relationships, Supports Innovation, Developing Standards, Vendor and Staffing Firm Management, Administrative Writing Skills, Logistics and Operations experience, Lean methodology experience preferred.
