POSITION PURPOSE
Provide Energy Production (EP) staff with the necessary day-to-day analytical and administrative support which includes tracking operating statistics; interfacing with plan historian; organizing and maintaining records and databases; producing charts, graphs, and spreadsheets; coordinating data requests; assisting with budgeting and budget tracking; scheduling appointments; and handling accounting tasks (requisition entry, data entry, shipping, receiving, inventory control, and support services for WCCF and Blount).
DUTIES AND RESPONSIBILITIES
- Reviews and coordinates EP management staff schedule and updates calendar as necessary.
- Tracks annual departmental goals and distributes monthly updates.
- Assists with and coordinates development of the annual EP departmental accomplishments.
- Maintains information needed for collective bargaining and labor agreement administration, employee performance reviews, and salary information data on exempt and nonexempt personnel.
- Tracks EP safety performance and provides monthly updates.
- Reviews and enters data into the Asset Management System.
- Supports staff in assigned project-based work.
- Files and retrieves records and reports.
- Opens, sorts, and distributes incoming correspondence.
- Enters requisitions and receipts in Oracle at the direction of engineers and managers.
- Performs administrative tasks related to accounts receivable and accounts payable functions.
- Maintains purchasing records and supply inventory. Maintains records of capital spending and commitments.
- Maintains the office supply inventory and places orders accordingly.
- Tracks on-site chemical, bulk chemical, and lube inventory.
- Records labor and processes closing of work orders.
- Balances stock parts inventory monthly and annually and provides supporting documentation to Property Accounting.
- Collects and files various safety and inspection records in accordance with regulatory requirements.
- Creates and updates conference room, training room, and EP calendars.
- Answers and directs internal/external telephone calls.
- Assists EP managers with annual budget development and tracking.
- Creates monthly preventive maintenance work orders.
- Creates and maintains assets, schedules, and tasks in the Asset Management System.
- Processes EP generation equipment operation logs daily.
- Generates and distributes EP plant information reports monthly.
- Uploads EP generation equipment operating statistics to MicroGADS monthly and MISO quarterly.
- Reports EP generation equipment operating statistics to federal agency monthly and annually.
- Attends meetings and records minutes as assigned.
- Coordinates biannual departmental meetings.
- Coordinates biannual departmental newsletter.
- Tracks contractor labor for O&M Manager.
- Tracks apprentice hours.
- Assists O&M Manager with maintenance records and reporting.
- Processes and distributes EP procedure updates.
- Processes annual physical inventory.
- Updates and maintains EP business contacts database.
- Updates and maintains various spreadsheets including O&M spending detail, off-line productivity, EP variable O&M costs, EP operating statistics, EP quarterly accounts payable accruals, EP O&M year-end estimates, and renewable generation.
QUALIFICATIONS
Education and Experience
- Bachelors in Business or Data Analytics preferred.
- Three to five years of analytical and administrative experience.
Knowledge and Skills
- Skilled in word processing and data entry.
- Able to make standard computations and tabulations accurately and with reasonable speed.
- Must possess a general clerical aptitude and have basic knowledge of recordkeeping.
- Must maintain confidentiality and be discrete.
- Strong computer skills including Kronos, Oracle, Microsoft Word and Excel, Share Point, and spreadsheet software.
- Proven skills in handling detailed work with minimum errors.
- Able to multitask.
