Job Description:

We are looking for someone who can be a joyful connection across our departments, division, and community.  

This job is part of a team of three that provides Business Support to the Experiences & Partnerships Division. The right candidate manages multiple responsibilities, is proactive, self-motivated, a problem solver, and skilled at anticipating team needs for a fast-paced division. If you have proficiency in project logistics, business administration, leadership support, as well as an understanding of budget, financial, contracts, and project management, please apply.  

 

Essential duties: 

  • Provides support on department specific projects, exhibits, and events.  

  • Coordinates communication materials and meeting schedules.  

  • Provides ad hoc support to other departments to assist with requests for specific information from Experiences & Partnerships.   

 

Administration Supports department Directors and staff to ensure smooth administration, department communication, and financial tracking and coordination.  

  • Provides support to the department by acting as public interface, scheduling meetings and coordinating events and programs.   

  • Prepares and coordinates meetings: scheduling, agendas and materials, logistics, minutes.  

  • Provides support to staff by ordering supplies, assisting with travel arrangements and maintaining calendars. Builds and manages relationships with vendors.  

  • Tracks finances for operation, TRNA, grants, cost center and provide reports to cost center managers. Centralizes documentation including plans, reports, contracts, personnel paperwork, etc.  

  • May provide database support, systems support, or website content management  

 

Department, Division, and Museum Involvement, attends and participates in department, division, and Museum-wide trainings and committees as assigned.  

  • Provides outstanding customer service to internal and external customers through answering questions, providing insight, resolving concerns, and Museum representation at events and in the community.  

  • May act as liaison with community partners, coordinating special space use, tours, and ticket requests as well as other communication.  

 

Minimum qualifications/Requirements: 

  • High School diploma or equivalent required.  

  • 3 years’ experience providing administrative support or equivalent work experience required.  

  • 3 years’ managing a project for a department required.   

  • Some evening/night/weekend work required.  

  • Intermediate proficiency with Microsoft Office suite and web enabled applications required.   

  • The Museum loves science.  As a science institution, the Museum believes in the science behind vaccines.
