The role will provide medical; administration support to two high performing Recruitment Consultants who themselves manage a fast-paced portfolio of clients placing doctors into hospitals/private practices. Encompassing a broad range of medical administration tasks, the key part of your role will be coordinating and supporting the Recruiter with any required administration for the placement to proceed (and for Doctors there are lots!!) plus being accountable for credentialing and compliance, getting Doctors from A to B and ensuring everything goes smoothly with the placement. 

Duties include but not limited to:

  • Manage and organising all placement, contract and compliance documentation in line with State/National requirements, for example CV checks, Reference checks, Medical checks, Visa checks, Google checks, APHRA checks 
  • Daily phone and email interaction with clients and candidates, checking on status of documents, travel bookings and new events like border closures
  • Undertaking research to help source candidates for job vacancies, supporting the recruiter with searches
  • Making candidate calls weekly with the intention to validate candidates eligibility to work and then updating in the database
  • Being a point of contact for Doctors on placements and pre-placement and being a support for them 
  • Posting job applications across various media, responding to job application queries, screening candidates and arranging interviews for candidates 
  • Supporting Business Improvement and Project team with tasks as required to support the business
  • Liaising with the Marketing Team to create job adverts and marketing material 
  • Assisting with ad-hoc projects


We’re seeking an individual with a love of admin and superstar skills (minimum 2 years admin experience). Although you don’t need recruitment or medical experience, you must have a genuine commitment and willingness to learn about the medical world. Medical paperwork/compliance can be complex and each establishment and state has different rules/criteria so we need a person who is able to learn lots of different rules and is able to switch approach/priorities regularly (for example having to request your Doctor gets a last minute Covid-19 test). 

In addition, you will be a pro-active team player, always one step ahead and motivated to deliver exceptional results. Other key strengths include -

  • Excellent communication skills - verbal and written
  • High level of attention to detail and a stickler for perfection / perfect output (hospitals get cranky when we send incorrect paperwork!) 
  • Adaptability – you need to roll with the punches (like border closures) and remain positive
  • Customer service focused at all times - These are critical doctor placements and we need to look after our doctors so they can look after others! 
  • The ability to manage your time and juggle a busy ever changing workload
