Responsibilities
Provide administrative and office support to the Senior Manager and Manager.
Enter data into databases and various platforms and process reimbursement requests.
Provide daily logistical and administrative support to managers and the department.
Answer, screen, and direct calls from Funds participants and members to the appropriate staff within the unit.
Provide informed responses to member inquiries.
Prepare expense reports by collecting receipts and other information verifying payments made.
Manage calendars, including scheduling appointments and meetings and coordinating travel arrangements.
Enter invoices in Oracle for processing.
Prepare for meetings by organizing meeting materials, equipment, technology, space, refreshments, and more.
Take meeting minutes and follow up on action items.
Assist in streamlining and facilitating provider workshops and events.
Prepare, maintain and update documents, reports, presentation materials, departmental processes and documents such as our schedule of assignments.
Bolster reports, memos and correspondence through data and statistical compilation, final proof reading/editing and enhance presentation material.
Perform additional duties and projects as assigned by management
Qualifications
High School Diploma required.
Minimum one (1) years of experience in an administrative support capacity to management in a corporate/office environment.
Bilingual speaking (Spanish, Creole) preferred.
Project coordination and office management experience preferred.
Proficient in Microsoft Office applications (Excel, Word, Outlook, etc.).
Excellent interpersonal and communication skills – oral, written and listening.
Strong computer and Internet research skills.
Basic knowledge of records management.
