Job Overview:

Provide reception function for patients and act as a key communicator with patients, families, physicians, clinicians and other related departments/services scheduling appointments for diagnostic testing and physician consultation as well as preparation and coordination of Physiatry Clinics.

Accountabilities:  

  • Coordinate, schedule and confirm all Physiatry clinic visit appointments using the Electronic Patient Record (EPR) and Total Solutions (TS) appointment booking software.
  • Set-up and maintain patient charts in accordance with Centre policy.
  • Send clinic-related requisitions and e-mails, update calendars.
  • Maintain manual/computerized systems for tracking information such as quality assurance data.
  • Perform other unit clerk duties as assigned, if not in contradiction with job purpose.
  • Be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors including:
    • Compliance with the safety standards of the Centre and applicable legislation.
    • Identification and prevention of safety issues and problems.
    • Taking corrective action, where possible.
    • Attendance at safety meetings/training/updates in accordance with Centre’s standards.
  • Ability to work in a manner that exemplifies the core values of West Park Healthcare Centre: Excellence, Respect, Trust, Collaboration, Accountability.

Key Qualifications: 

  • High School Diploma
  • Minimum 2 years office experience 
  • Experience in a health care setting and knowledge of medical terminology preferred
  • Proficiency in MS Office
  • Knowledge of electronic patient record and scheduling software considered an asset
  • Excellent interpersonal, organizational and communication skills (both written and verbal)
  • Basic Microsoft Office Skills
  • Ability to work independently without supervision in a fast-paced environment
  • Ability to prioritize workload within a multi-task environment with multiple demands
  • Evidence of satisfactory attendance and punctuality
  • Knowledge of Electronic Patient Record, Total Solutions Scheduling Software preferred
