Job Overview:

The Unit Clerk position provides administrative support to nursing & clinical staff.  This includes interacting with clients/patients and their families. The incumbent may cover the absences of unit clerks across the hospital on all nursing inpatient units and in the outpatient rehabilitation department.

Accountabilities:  

  • Provide clerk duties and assist/direct/re-direct clients/patients (the clients may be inpatients and/or outpatients)
  • Be a key communicator with clients, families, physicians, clinicians and other related departments and services to assist with the management of the patient’s care.
  • Distribute and pick up mail, photocopy, transport charts and information, and manage a high volume of incoming and outgoing  telephone calls
  • Develop and maintain manual and/or computerized systems for tracking information.
  • Format correspondence including using MS Email and other related systems and/or work processes, and collate, track and maintain spreadsheet information using MS Excel.
  • Schedule and coordinate appointments and assessments for patients/clients and clinicians (including equipment, space availability and transportation as required).  Distribute clinic agendas to all applicable parties in advance of a clinic.
  • Maintain discharge reports/ records and file and pull client/patient charts
  • Coordinate clients’/patients’ appointments between different services to help create efficiency with the clients’/patients’ WPHC visit/stay
  • Schedule transportation for patients to appointments, home, or on excursions
  • Respond to health records requests and reconcile client/patient visit data using appropriate software.
  • Ensure the nursing unit/department/service is adequately stocked with supplies/resources and track utilization.
  • Maintain clients’/patients’ clinical records in accordance with centre policy.
  • Transcribe physician orders and to enhance the efficiency of the management of the patient’s care
  • Be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors including:
    • Compliance with the safety standards of the hospital and applicable legislation
    • Identification and prevention of safety issues and problems
    • Taking corrective action, where possible
    • Attendance at safety meetings/training/updates in accordance with the Centre’s standards 
  • Be available and flexible to attend work on short notice.

Key Qualifications: 

  • Minimum High school Diploma required and Completion of a medical terminology course
  • Intermediate computer training and experience in MS Office Suite (Excel, Word, Outlook)
  • Preferred Medical Office Assistant Diploma/Certificate
  • Demonstrated ability to prioritize competing requests
  • Understanding of medical terminology and good communication skills (written & verbal)
  • Demonstrated ability to work in a fast-paced environment and multi-task and ability to speak a second language
  • Good interpersonal and adaptability skills to cope effectively with fast-paced deadlines and internal and external customer requests
  • Ability to work as part of a team and Evidence of good performance history and attendance record

  • Preferred experience in ANSOS and MISYS software
