Responsibilities:
Customer Service Management
- Handling customer complaints or any major incidents.
- Resolving all internal and external client customer service issues in a cost effective and expeditious manner. Works closely with client’s representatives to ensure service satisfaction.
- Developing customer service procedures, policies, and standards for your department.
- Investigating and solving customers' problems, which may be complex or long-standing problems that have been passed on by customer service executives.
- Ensures delivery of excellent customer service through fast and accurate processing of orders, communication, and coordinating with other departments to resolve inquires.
- Prepare acknowledgement, invoices, delivery orders, proforma invoices and all other sales related documents using the ERP system.
- Obtain approval from MD for all discount and credit limit exceeded according to company procedures.
- Maintain and file systematically all sales and shipping documents in SAP and RACE as per require by management.
- Review CM% and escalate to sales and/or management on negative margins.
Procurement Management
- Maintain physical stock accuracy /integrity.
- Inventory count (at least once a year 100%).
- Support the areas with the usage/guidance of eProcurement tools developments applicable to the procurement process.
- To assist management, technical teams, and sales employees in making well-informed decisions, run simulations to determine the cost impact of raw material pricing.
- Establish and create SOPs on procurement & ERP system.
- Planning and administering all purchasing activities
Logistics Management
- Carry out price negotiations with logistics provider (at least 2 quotes)
- Update transportation cost overview.
- Plan shipments in collaboration with sales and logistics providers to meet customer expectations with most cost-effective solution.
- Liaise with logistics providers to ensure on time inbound and outbound deliveries.
- Manage the movement of materials in and/or out of the country in accordance with organizational policy and procedure, and to comply with relevant local, country, and international law and process.
- Liaise with other departments to establish and maintain effective and relevant export/import activities and support in relation to the organization's sales, purchasing, production and overall operating functions.
- Plan and carry out trainings regarding Incoterms and general logistics knowledge.
- Plan and implement import/export strategy and activities consistent with overall aims and requirements of the organization.
Business Support Management
- Office Administration
- Business support e.g., HR, IT, etc.
Leadership
- Manage and develop direct reporting staff.
- Assist with the management of the Operations team, providing leadership and guidance to ensure the smooth running of day-to-day tasks.
- Lead efforts to continuously improve company processes, procedures, and policies, ensuring maximum efficiency, cost effectiveness, and compliance.
Requirements:
- Diploma or Degree in business administration/logistics/business management .
- More than 7 years working experiences.
- SAP ERP in Material Management knowledge is a must.
- Experience in customer service is a must and experience in procurement and/or office administration/business support is good to have.
- Has experience in supervisory role.
